Who is responsible

HomeViewer Properties (Pty) Ltd (“HomeViewer”, “we” or “us”) operates the HOMS website and provides HOMS software. An organisation using HOMS controls its own operational records and decides who may access them, how they are used and which optional integrations or alerts to enable. Depending on the deployment and agreement, HomeViewer may process those records on the organisation's behalf. Information HOMS may handle

• Accounts and access: names, work contact details, organisation, role, account identifiers and sign-in or access records.
• Operational records: sites and areas, assets and device identifiers, status events, faults, maintenance, work orders, checklists, assignments, comments, timestamps, audit history and photos or documents entered by users.
• Integrations: data supplied by systems an organisation chooses to connect, which may include personnel or attendance information where that integration is enabled.
• Support and technical data: support requests, browser or device information, service logs and information needed to diagnose, operate and secure the service.
• Optional WhatsApp alerts: recipient names and phone numbers, device alert settings and the operational details included in an alert.

The exact records depend on the HOMS features an organisation uses and what its users enter or connect.

Why information is used

HOMS uses information to give authorised users access, operate asset and maintenance workflows, show device status, keep an audit trail, send alerts selected by an organisation, provide support, diagnose faults and protect the service. An organisation may use its own HOMS records for its operational and legal purposes.

Cloud and private deployments

HOMS Cloud uses hosted infrastructure, including Supabase services, for account and application functions. HOMS Private is installed on infrastructure controlled by the customer or its chosen operator. Storage location, backups, access and retention for a private deployment depend on that installation and the customer's arrangements. Contact your HOMS administrator for deployment-specific details.

Sharing and WhatsApp alerts

Information is available to authorised users of the organisation according to their access rights. We may use service providers needed to operate HOMS Cloud or support HOMS, and organisations may connect other services they select. We do not sell personal information.

If an organisation enables WhatsApp device alerts, the selected recipient's phone number and alert details, such as a device name, site and event time, are sent to Meta's WhatsApp Business Platform for delivery. The organisation chooses its recipients and should inform them about these alerts. WhatsApp and other providers may process information outside South Africa under their own applicable terms and privacy notices.

Cookies and browser storage

The HOMS website and portal use browser storage and similar technologies needed for functions such as sign-in and session continuity. Browser settings can restrict these technologies, but doing so may prevent account features from working.

Security and retention

We use reasonable organisational and technical measures to protect information within the services we operate. Customers also manage their own users, permissions and private infrastructure. No system can guarantee absolute security. Operational records are retained according to the organisation's settings and arrangements, applicable legal requirements and the purpose of processing. HomeViewer retains its own account, support and service records only as long as needed for those purposes or legal obligations.

Your choices and rights

You may request access to, correction of or deletion of personal information, or object to certain processing where applicable law permits. For operational records, ask your organisation's HOMS administrator first. You may also contact admin@homeviewer.co.za; we may need to verify your identity and coordinate with the relevant organisation. You may complain to South Africa's Information Regulator.

Updates
